First launch/onboarding

Start on device, choose account context, then create an account when you want cloud backup and web access.

  1. 01Open the app and follow the first launch prompts.
  2. 02Choose artist, collector, or both when the account type screen appears.
  3. 03Create an account or sign in to keep records backed up and synced with the web dashboard.
  4. 04Check Account, Settings after onboarding to confirm preferred units, preferred currency, inventory code format, and visible fields.

Why account setup matters

Records can be created on device, but the same signed-in account is what makes the archive available on both iOS and the web dashboard.

Library dashboard, grid/list, search, and filters

The Library tab contains Artworks and Collections, with compact browsing tools for larger archives.

  • Use the Library tab to move between Artworks and Collections.
  • Switch artwork display between grid and list when available.
  • Search across visible artwork fields such as title, artist, inventory code, medium, category, location, notes, description, and tags.
  • Open the filter drawer to choose status, category, medium, tag, location, collection, and year filters.
  • Filters use draft choices. Tap Apply to update the list or Clear to reset.
  • Use selection mode for batch edit, status changes, collection actions, tags, renumbering, or deletion.

Adding artworks manually, from camera, from photo library, batch photo import, and video records

The Add button opens the mobile creation menu for manual records, camera capture, photo import, batch import, CSV import, and video records.

Manual entry

  1. 01Tap Add in the bottom tab bar.
  2. 02Choose manual entry or create without image.
  3. 03Fill in the artwork details and save.

Camera or single photo

  1. 01Tap Add.
  2. 02Choose Take Photo or Select Photo.
  3. 03Confirm the image, then complete the artwork form.
  4. 04Save and let the sync queue upload the record and media.

Batch photo import

  1. 01Tap Add, then Batch Photos.
  2. 02Select multiple images from the photo library. The app can create one artwork per photo, subject to plan limits.
  3. 03Set a base title, starting number, shared status, and any shared fields.
  4. 04Review titles, then create the batch.

Video records

Video upload requires Studio, internet, and a synced artwork record. If a new record has not reached the server yet, wait for sync to finish and try again from the artwork detail screen.

Editing artwork details and media

Artwork detail pages support metadata edits, media changes, editions, sales, documents, labels, COAs, exhibitions, and consignments.

Common edits

  • Update title, status, category, medium, year, dimensions, duration, weight, price, currency, location, notes, description, provenance, tags, and inventory code.
  • Use the rich text editor for descriptions that need bold, italic, paragraphs, and line breaks.
  • Crop, rotate, replace, or add images from the detail page.
  • Use Manage Editions for larger edition sets.
  • Generate COAs and labels from the artwork detail page when available for your plan.
  • Attach documents on Studio where the documents feature is available.

Most edits save locally first and then sync. A pending sync label means the local device has the change and is waiting to push it to the server.

Sync and offline use

The iOS app stores records locally first, queues changes, and syncs with the shared web account when online.

  • Offline work is saved in SwiftData on the device.
  • When a connection is available, the sync engine sends pending operations and pulls server changes.
  • An offline banner appears when the device is disconnected.
  • Settings shows sync status, pending operations, failed operations, retry controls, and Pull Latest Changes.
  • PDF generation, billing, video upload, cloud media upload, and web handoffs require internet.

Before signing out

If possible, let pending operations finish before signing out or deleting the app. Check Account, Settings, Sync for pending or failed operations.

Collections, catalogs, viewing rooms, and share flows

The Share tab groups PDF catalogs, viewing rooms, and portfolio handoff.

Collections

  • Collections live in Library beside Artworks.
  • You can create collections, edit collection membership, reorder artworks, and use collections as working groups.

Catalogs

  • Open Share, Catalogs to create a PDF or view saved catalogs.
  • Choose artworks, layout, visible fields, and artist pages.
  • PDF generation uses the web API and requires internet.

Viewing rooms

  • Viewing rooms are managed in the web dashboard.
  • iOS can show synced rooms, search/filter them, open the web dashboard, open room details, copy room links, and share existing public links.
  • If a room is missing on iOS, pull latest changes after creating or editing it on the web.

Portfolio

  • Portfolio editing stays on the web dashboard.
  • iOS can open the portfolio dashboard and share the live portfolio link when the portfolio is published.

Account page, billing, import/export, settings

The Account tab contains profile settings, billing, import, export, support, privacy, terms, and sign-out.

Account tab

  • Settings controls profile, artist text, units, currency, inventory codes, visible fields, COA signature, sync, and account deletion.
  • Billing shows plan status and opens the native paywall, App Store subscription management, restore purchases, or web billing where relevant.
  • Import opens CSV import.
  • Export Data can export local CSV/JSON record files and display image ZIPs. Original image and video archive export is handled on the web.
  • Open on Web launches the browser dashboard for web-only workflows.
  • Help & Support opens this iOS guide directly.

Known limitations

Some workflows stay web-led because they need browser publishing tools, server-side media export, or review-gated integrations.

  • Video upload requires Studio, an internet connection, and a synced artwork record.
  • Viewing room management is web-led. iOS can show and share existing synced rooms.
  • Portfolio publishing and portfolio design controls are managed on the web.
  • Original-resolution image ZIP export and Bunny video archive export are handled on the web dashboard.
  • Instagram import is not generally available in production until Meta approval is complete.
  • The native app requires iOS 18 or later.

Troubleshooting

Fix common iOS issues with sync, camera permissions, uploads, billing, and web handoff.

  • Camera unavailable: open iOS Settings, Artwork Codex, and allow camera access.
  • Photo selection unavailable: confirm Photos permission in iOS Settings.
  • Web changes missing: open Account, Settings, Sync, then Pull Latest Changes.
  • Pending record not visible on web: keep the app open on a stable connection until pending operations finish.
  • Video upload blocked: confirm Studio access, internet connection, file size, and that the artwork has synced.
  • Purchase not reflected: open Billing and use Restore Purchases, then wait briefly for account access to refresh.
  • PDF generation disabled: connect to the internet and confirm the account is not frozen or past due.

Privacy/security

The iOS app uses the same account security and public visibility rules as the web dashboard.

  • Your private archive syncs to the same protected backend used by the web dashboard.
  • Public portfolio and viewing room visibility are controlled by explicit publishing choices.
  • Camera and photo library access are requested only for actions that need them.
  • App Store billing is handled through Apple and entitlement sync is handled through RevenueCat.
  • Deleting an account is permanent and removes account data and associated media through the account deletion flow.
